Project overview
This project was designed as a reusable AI-driven business operations framework for companies that manage customer communication and internal workflows through WhatsApp and Telegram. The workflow centralizes incoming messages, business context, AI decision-making, approvals, database updates, Google Sheets synchronization, and customer responses inside n8n. A central OpenAI-powered coordinator delegates tasks to six specialist agents covering Sales & Leads, Supplier & Products, Inventory, Invoices, Appointments, and Customer Support. The workflow is suitable for retail, wholesale, e-commerce, manufacturing, and service-based businesses that want to reduce repetitive manual work while keeping important actions controlled and auditable.
The challenge
Many businesses still manage customer requests, stock updates, supplier information, invoices, appointments, and support manually across WhatsApp, Telegram, spreadsheets, and internal databases. This creates several problems: - Repetitive manual data entry - Slow customer response times - Data scattered across multiple tools - Difficulty identifying which team or process should handle each request - Risk of AI or automation making unauthorized changes - Limited auditability and approval control - Duplicate message or event processing The goal was to build one automation layer that could understand business requests, route them to the correct AI specialist, validate proposed actions, update connected systems safely, and respond through the original messaging channel.
Our solution
We developed a modular multi-agent automation architecture using n8n as the orchestration layer. Incoming WhatsApp and Telegram messages are normalized into a common event structure before being processed. Business context and conversation history are retrieved from PostgreSQL and passed to an OpenAI coordinator. The coordinator can delegate requests to six specialist AI agents: - Sales & Leads - Supplier & Products - Inventory - Invoices - Appointments - Customer Support Each agent can access relevant Google Sheets business data. Before any business-side action is committed, proposed actions pass through validation logic that checks permissions, required fields, sender roles, allowed operations, and approval requirements. Sensitive operations can be sent to a Telegram administrator for approval or rejection before execution. Validated results are recorded in PostgreSQL, supported product changes are synchronized with Google Sheets, and the workflow can automatically reply to the original WhatsApp or Telegram sender.
The results
The final workflow provides a reusable foundation for AI-assisted business operations across WhatsApp and Telegram. It consolidates multiple operational tasks into one automation system while preserving human oversight for sensitive actions. The workflow is now published on the official n8n workflow marketplace and can be adapted for different industries, business processes, spreadsheets, database structures, and approval policies. It also demonstrates how multi-agent AI can be used in a controlled business environment where AI proposes actions but validation and approval rules determine what can actually be executed.
